VERSION 9.7.8 of Visual RMS RELEASED

(MUST be at version 9.7.7 or later for this update to be successful.)

On June 14, 2006 version 9.7.8 was released by P&NP. This corrects several minor problems found since 9.7.7 was released in February and also adds several enhancements. You may click here in order to read what is included in this update. Please follow the directions below to successfully install 9.7.8.

  1. Before each and every update, be absolutely certain that a backup exists which may be restored fully should it be necessary. Backups are extremely critical at all times as more and more critical information is being moved from paper to electronic media and the reliance on that electronic media is becoming imperative.

  2. Save the file UPD978.ZIP and place it in the Visual RMS folder. This can be accomplished by right clicking on the file name and selecting "Save Target As...".

  3. Now open a DOS Prompt (Command Prompt) and change the folder to the Visual RMS folder. As an example, people with a network and Visual RMS is installed in F:\VisRMS would type: F: and hit the enter key, then they would type CD \VisRMS and hit the enter key.

  4. Type the following command: PKZIPC UPD978 -EXTRACT -DIR. This will expand the enclosed files into a subfolder of Visual RMS called UPD978.

  5. Before you start installation, know where your VISRMS system is installed. Check the properties of your desktop icon if you are not sure of the location.

  6. Now type the following command: UPD978\SETUP. This will execute the setup command, just follow the prompts and the update will be installed.

    The first prompts that you will see allows you to select the drive and folder where the system is located. You must select the proper drive and folder as you located in step 5.

    Once you accomplish this, it should say that it will overwrite files and ask whether you wish to continue. Only select yes if the backup in step 1 was successful, otherwise answer no and go back to step 1.

  7. Once you are sure that the update was installed successfully, then you may erase the UPD978 subfolder of Visual RMS.

On June 28, 2006 version 9.7.8a was released by P&NP. This corrects several minor problems found in 9.7.8 particular with cash receipts and working with diagnoses. If you are experiencing any problems with 9.7.8, please put on 9.7.8a and try again. Contact P&NP if your problem persists. Please follow the directions below to successfully install 9.7.8.

On October 2, 2006 version 9.8.0 was released by P&NP. This corrects several minor problems found in 9.7.8/9.7.8a. On June 12, 2007 (updated 7/11/2007 to include 9.8.5b) version 9.8.5 was released by P&NP. The biggest change in this update is support for the UB-04, but there are many other changes/corrections as well. You may click here in order to read what is included in this update. [NOTE: This release only contains those changes made to 9.8.5 which occurred after its initial release on June 12th. Version 9.8.5 must be install prior to attempting to apply these patches.]

On July 11, 2007 version 9.8.5b was released by P&NP. This update addresses the following issues plus other minor changes:

1) Problem with removing trailing spaces on legacy numbers was addressed in the Medicaid submission file. Issue raised with Medicaid postponing NPI use. If facilities implemented this feature before Medicaid was ready then it raised issues. An interim workaround has been implemented to safeguard against this being a problem.

2) Annotated Census report in the Census module was not reporting the actual detail information.

3) "Maintain Transaction Types" in the A/R module would get an error upon exiting for simple changes made to existing records.

4) The screen where the information is entered on a particular cash receipt. If the user select the 05 insurance area, when they hit F2 for possible insurances to select from, then an error would occur.

5) UB-04's printed for TPHIs was missing the NPI number of the facility in field 56. Mislabeled field 38 (was showing as 28).

6) Problem with Infection Control report complaining that a tag name was too long.

VERSION 9.8.5c of Visual RMS RELEASED

(MUST be at version 9.8.5 or later for this update to be successful.)

[NOTE: This release only contains those changes made to 9.8.5 which occurred after its initial release on June 12th. Version 9.8.5 must be install prior to attempting to apply these patches.]

[NOTE #2: Do NOT attempt to install this update if you are running PRO 7.4 and linked to Visual RMS. These systems should be running 9.8.6.]

On December 17, 2007 version 9.8.5c was released by P&NP. This update addresses the following:

1) need to include support for the M2 migration for Medicare claims.

2) problem with error reporting routine which would complain of a file missing has been corrected.

3) change to the 997 Reader/Interpreter to handle a batch rejection which is not related to a particular claim.

This update will also make sure that the current release of ICD-9-CM codes (which were to be implemented on 10/1/2007 available separately before this) as well as the latest changes to the claim scrubber.

VERSION 9.8.6a of Visual RMS RELEASED

On April 11, 2008 version 9.8.6a was released by P&NP. This update addresses the following:

1)  Added support for the ADHCP Transportation portion  which can be now billed separately from the daily rate

2) Added support for the M2 number

3) Edit Resident Info has been combined into one screen which adds to the amount of information available to the billers

4) Allow for multiple claim level adjustment lines in the 835 files

5) Support for the change to the Medicare 997 file inclusion of optional TA1 record

6) Added support for exporting files to PRO version 7.4

7) Added support for the new Quick Tracker routine of Resident Scheduling

8) Changed the MDS statutory schedule to look more at R2b rather than VB4 for setting up the calendars

9) Pain (section J) was filling in J2 with ampersands (&) rather than blanks on non-quarterly assessments with no pain indicators

10) Added the ability to export the family information to an excel spreadsheet

11) The 835 Cash Receipt system now asks which reports you want generated and gives you the ability to get “EOBs” for each resident

12) The ability for multiple facilities to share a common pre-admission system was added back in

13) Added a report to the ADT module to assist in filling out the Civil Rights report

VERSION 9.8.6b of Visual RMS RELEASED

On May 2, 2008 version 9.8.6b was released by P&NP. This update addresses the following:

Everything in 9.8.6a above PLUS:

1)  Field 51 will fill in with the facilities NPI when creating claims without a legacy number specified in the facility setup. This update is critical for all facilities using our billing modules to have installed PRIOR to the May 23rd Medicare deadline or prior to testing for NPI only claims.

2) Not all of the various "Resident Selection Screens" would fill in the box with the current status of the resident being selected.

3) Error was created when maintaining the codes list in incident when clicking finish yet no changes had been made.

NOTE: This update has been superceded (and therefore removed) by the update 9.8.6c below. Everything which was in this update is included in that update PLUS more. [5/27/2008]

VERSION 9.8.6c of Visual RMS RELEASED

(MUST be at version 9.8.5 or later for this update to be successful.)

On May 27, 2008 version 9.8.6c was released by P&NP. This update addresses the following:

Everything in 9.8.6a AND 9.8.6b above PLUS:

1)  If you have QuickTracker … it will provide corrections to all currently known problems

2) If you do not have QuickTracker … a small correction was made for the software to ignore, for the purposes of reports, missing data which is normally provided by QuickTracker. Currently some clients have reported issues while trying to run some reports.

3) A small modification in billing … now that May 23rd has come and gone … Medicare has indeed implemented the NPI only policy. Currently the software will fill in UPIN #’s for physicians, if UPIN is not available then license numbers. The user cannot just blank this information out in the physician setup since the license (legacy) information is still needed for Medicaid. The user cannot just blank it out of the UB-04 because the current validation of the UB-04 will flag that as an error. This update will not fill in the legacy information on newly created MEDICARE claims if the NPI is available. It also will allow the legacy information for physicians to be BLANK on MEDICARE claims without causing an error to be generated by the claim checker.

VERSION 9.8.7 of Visual RMS RELEASED

On August 5, 2008 version 9.8.7 was released by P&NP. This update addresses the following:

Accident/Incident

- Statistics Report – A simple statistics report for people looking at trends has been added

- Civil Rights Report – problem was that the report would ignore insurance changes on some residents.

A/R

- Billing Archive – Lumped all TPHIs together into one transaction.

Billing

- Medicaid Contractor # - Effective 11/14/2008 the contractor # needs to change from 00308 to 13201

- Private Pay Bill – Issue with multiplying the NY Cash Assessment by # of days then rounding as opposed to rounding the NY Cash Assessment amount times # of days. In some cases it could throw the calculation off by multiple cents.

- Add All Inclusive Ancillary flag as a separate flag from the follow PPS Schedule flag.

- Removed the requirement to have Medicare Provider # in setup for the obvious error check

- Verify UB-04 – error occurred when NPI w/o legacy # was specified in the FL 78 (Other Provider Info)

Clinician Notes

Miscellaneous RMS

 

Generic Updates for RMS

     The ICD-9-CM codes which are to be used effective October 1, 2008 have been released. You must start using these codes by that date. As was true for 2004-2008, there is no grace period for their implementation and use.  Please download the file by right clicking the file name and choosing save target as and place it in the main Visual RMS folder. Once this is complete, uncompress the file and make sure the three files enclosed (ICD9LIST.DBF, ICD9LIST.CDX and ICD9LIST.FPT) are put into the database subfolder of the Visual RMS system. In order to be successful in doing this...nobody can be accessing the ICD-9-CM list at this time.

These codes must be implemented in the facility on October 1, 2008.

On January 5, 2009 the HCPCS codes to be used for 2009 was released by P&NP. This is just an interim release and only updates the HCPCS/CPT-4 codes which are to be used effective January, 2009.

  4. Now type the following command: PKZIPC UPDHCPCS -EXTRACT  -DIR. This will expand the enclosed files into a subfolder of Visual RMS called UPDHCPCS.

  5. Now type the following command: UPDHCPCS\SETUP. This will execute the setup command, just follow the prompts and the update will be installed in most cases in less than one minute.

Microsoft Visual FoxPro version 8 Client

 

P&NP will soon be releasing version 9.5.0. Starting with this release is the expectation to start using Visual FoxPro version 8 rather than the version 6 which is currently in use. In preparation of this, large facilities may find it useful to start implementing the client now rather than later. It is a simple Setup routine which will copy the needed files and set them up so that the machine will be ready for 9.5.0 when it is released. It will have absolutely no effect to any other software currently installed on the machine.

Update 4.2.0 of Visual EMS RELEASED

On February 4 version 4.2.0 was released by P&NP. This version has added several utility programs that are external to EMS, Social Security numbers has been removed from all screens, automatic holidays, multiple company support, staffing level reports, and much more. For a list of changes read the EMS420.TXT file after you update.

1) Save the file UPD420.ZIP and place it in the Visual EMS folder. This can be accomplished by right clicking on the file name and selecting "Save Target As...".

2) Now open a DOS Prompt (Command Prompt) and change the folder to the Visual EMS folder. As an example, people with a network and Visual EMS is installed in F:\VEMS would type: F: and hit the enter key, then they would type CD \VEMS and hit the enter key.

3) Now type the following command: PKZIPC  UPD420  -EXTRACT  -DIR. This will expand the enclosed files into a subfolder of Visual EMS called UPD420.

On September 2 version 1.5.2 was released by P&NP. Visual Fixed Assets must be at version 1.5.1 in order for this to install properly.

  1. Before each and every update, be absolutely certain that a backup exists which may be restored fully should it be necessary. Backups are extremely critical at all times as more and more critical information is being moved from paper to electronic media and the reliance on that electronic media is becoming imperative.

  2. Save the file UPD152.ZIP and place it in the Visual Fixed Assets folder. This can be accomplished by right clicking on the file name and selecting "Save Target As...".

  3. Now open a DOS Prompt (Command Prompt) and change the folder to the Visual Fixed Assets folder. As an example, people with a network and Visual Fixed Assets is installed in F:\VisFA would type: F: and hit the enter key, then they would type CD \VisFA and hit the enter key.

  4. Now type the following command: PKZIPC  UPD152  -EXTRACT  -DIR. This will expand the enclosed files into a subfolder of Visual Fixed Assets called UPD152.

  5. Now type the following command: UPD152\SETUP. This will execute the setup command, just follow the prompts and the update will be installed in most cases in less than one minute. Now when you go into Visual Fixed Assets it should say that you are at version 1.5.2. If you are not, then try these steps again or give P&NP a call for assistance.

  6. Once you are sure that the update was installed successfully, then you may erase the UPD152 subfolder of Visual Fixed Assets.
